Conventional Processing Methods
Previously, finance and fleet management staff manually checked the fuel card balances assigned to each vehicle and verified whether a vehicle had a valid highway toll paid for the intended route. When needed, employees purchased the required sticker online or at a gas station, entering the license plate, toll category, and desired validity period. This was time-consuming, increased administrative workload, and carried risks of errors (such as incorrect purchases leading to fines) and operational disruptions if a card ran out of funds.
Automated Solution
With RPA, a software robot connects to the company’s fleet management system and the fuel card provider’s online platform. Based on the specified route, the robot automatically determines which road sections require a toll sticker, selects the appropriate type (daily, weekly), and completes the purchase on the official online portal using the necessary vehicle data. It checks balances, automatically tops up cards if needed, and logs every transaction in detail. Generated reports are automatically sent to the finance department, and confirmations are instantly forwarded to the responsible staff and the driver.
